Job Description

Under the direction of the Nurse Manager; is responsible for clerical and secretarial activities of the hospital.  Is considered a confidential administrative assistant to Nursing Service and the organization.  Works closely with Nursing Leadership, Infection Prevention Practitioner, Nursing Staff, Social Service, Human Resources, and the general public.   ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.   Coordinates and maintains calendars; schedules meetings and accommodations for various committees and staff meetings.   Records, maintains and distributes records of minutes from nursing service meetings.   Retrieves, collects, prepares, copies, and distributes written and other materials for appropriate nursing management as requested.   Provides a central source for communication within the nursing departments; (mass e-mail, intranet postings etc)   Prepares routine correspondence, policies and procedures, monthly newsletters and other projects as requested.   Maintains on-line documents; archives documents.   Maintains Nursing Service personnel records and miscellaneous filing.   Coordinates various in-house education for nursing personnel; distributes class materials as needed; distributes CEUs as appropriate and maintains competency files.   Coordinates off-campus education for nursing personnel as needed.   Instructs and assists others in the process of locating information in the public folders.   Reviews Nursing Service personnel time cards and adjusts changes and department codes, as needed.  Tracks time and attendance information as requested by nursing management   Attends in-service education as appropriate for continued growth and development.   Operates office equipment.   Orders, receives and maintains office supplies.   Promotes organization safety program.   Demonstrates organization values in daily work.   Supports the policies and procedures of the organization and the standards of the Joint Commission as required for full accreditation.   This job description in no way states or implies that these are the only duties to be performed by the employee occupying this position, as the employee will be required to follow any other job-related instructions and to perform any other job-related duties requested by the supervisor.   Considers age-related factors when dealing with patients ranging from neonates, pediatrics, adolescents, adults and geriatrics.  Applies knowledge of age-related factors appropriately in accordance with professional standards and departmental policies and procedures.   QUALIFICATIONS  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Two years experience and/or training; or equivalent combination of education and experience.  Knowledge of computer, various office machines, layout and design, medical and technical terms.
