Job Description:

Contribute to the success of the Division of Pulmonary Critical Care, and Occupational Medicine by providing administrative services through the coordination and support of operations and/or lead the organization by planning, directing, and evaluating operations. Duties to include:

  • Operational Support and Management: Support the daily administrative activities for the Division of Pulmonary, Critical Care, and Occupational Medicine, including coordination of specialized and routine events and activities and appropriateness of expenditures.
  • Human Resources (HR): Provide administrative supervision of 3 ASCs and 1 Program Associate within the division. Provide direction, assignments, feedback, coaching and counseling to assure outcomes are achieved. Observe individual performance, provide fair and objective feedback, and identify opportunities to enhance performance if needed.
  • Financial Responsibility: Approve all requisitions and workflow orders, verify expenses and ensure funds are sourced correctly. Reconcile every account each month and report status to Division Director and Administrator
  • Strategic Planning: Assist with planning, developing, coordinating and implementing short and long range goals as outlined in the strategic plan for the project, program, unit, department or college/division.
  • Information Management: Gather and analyze data to create detailed reports in response to requests for information from DEO, CSO & the Dean's Office.
  • Communications Management: Serves as a liaison between patients, faculty, staff, division, department administration, Carver College of Medicine, and the public.

About Pulmonary

Required Qualifications

  • A Bachelor's degree or an equivalent combination of education and experience is required.
  • 1 year of experience providing administrative support in an academic environment is required
  • Excellent customer service, public contact and written/verbal communication skills are required.
  • Proficiency in Microsoft Office computer software applications including Word, PowerPoint and Excel is required.

Desirable Qualifications

  • Experience planning and/or organizing meetings and group events and serving as a liaison for the organization is highly desired.
  • Previous experience with maintaining physician group clinical schedules is highly desired.
  • Knowledge of University of Iowa policies, procedures, regulations, and guidelines is desirable.
