Referral and Medical Records Assistant - Moscow Family Medicine Job ID 2020-2244 # of Openings 1 Location Moscow Family Medicine Category Clinic Type Full Time Overview This job is located in Moscow Family Medicine.   This is a full-time position that is split between two departments, half time in Referrals and half time in the Medical Records Department.   This position performs a variety of clerical tasks in accordance with clinic policies, as well as federal, state, and local regulations applicable to the clinic, including confidentiality of patient related information in compliance with HIPAA guidelines.   This position requires collaboration with staff from all departments and other healthcare offices to achieve success that support the values and the goals of the organization. Qualifications Minimum Education High School Diploma or Equivalent.   Minimum Work Experience Medical office experience that includes medical records, referrals and prior authorizations is preferred   Responsibilities Required Skills Knowledge: It is crucial to have knowledge of medical terminology and HIPAA regulations. Communication: Ability to communicate effectively verbally and in writing. Computer skills: Proficient ability to use a computer, electronic medical record, MS Word, telephone system, printers, copier and scanner. Confidentiality: Maintain patient, team member and employer confidentiality. Comply with all HIPAA regulations. Customer Service Oriented: Friendly, cheerful and helpful to patients and others. Ability to meet patients and others needs while following office policies and procedures. Detail Oriented: Ability to pay attention to the minute details of a project or task. Flexibility – Ability to adapt easily to changing conditions and work responsibilities. Multi-task: Ability to handle more than one task at the same time. Positivity: Display a positive attitude and is a positive agent for change. Teamwork: Work as part of a team and collaborate with co-workers.   Essential Functions   Medical Records Provide high quality customer service to our patients, providers, and staff in a caring and supportive manner. Responds to requests to prepare, properly document, and release protected health information in accordance with federal, state, and local laws and within HIPAA regulations. Document and request protected health information from other healthcare facilities. Prepare and scan incoming documents for indexing into the medical record. Manage incoming fax distribution and route them to the correct folder. Compile outside documents not electronically obtained. Import images from ancillary equipment.   Referrals Assist referral specialist in processing. Maintain effective workflows for the referral and prior authorization process to facilitate patient access to medical care and treatment. Ensure timely and effective communication between healthcare offices, insurance companies and patients. Maintain working knowledge and understanding of insurance company websites.   Organizational Expectations   Provides a positive and professional representation of the organization. Promotes culture of safety for patients and employees through proper identification, reporting, documentation, and prevention. Maintains clinic standards for a clean and quiet environment. Including cleanliness and organization of the assigned area. Maintains competency and knowledge of current standards of practice, trends, and developments in related scope of job role or practice. Participates in ongoing quality improvement activities. Maintains compliance with organization’s policies, as well as established practices, protocols, and procedures of the position, department, and applicable professional standards. Demonstrates excellent customer service through his/her attitude and actions.   Functional Demands   Population Served: Neonatal, pediatric, adolescent, adult, and geriatric.   Physical Demands: Fast paced office environment that requires the ability to prioritize as the situations occur. Some lifting, reaching, twisting, up and down from computer to other equipment, typing, reading small print, reading computer screens, transporting with wheelchairs.   Environmental Conditions: Indoors. Exposure to limited amount of outdoor environment when sitting at front desks. Exposure to public germs and viruses.
