Job Description

The patient Coordinator is “the face” of the Department of Dentistry and will perform a variety of administrative functions as the front desk patient coordinator.  From the initial contact with prospective patients and families to the post-treatment scheduling, the Patient Coordinator works to provide warm communication and excellent customer service. Qualified candidates will also exhibit the following character attributes that mirror company culture: positive energy, accountability, professionalism and the ability to communicate efficiently with fellow team members and the special and dynamic patient base. Answer all phone calls in department Retrieve phone messages several times a day and return calls that same day Maintain the appointment book for residents and dentists Confirm patients through telephone contact two days prior to the scheduled appointment Pull patient records 2 days prior to appointment and verify the evening before File back patient records daily Pick up and deliver mail for the department Ensure a supply of assembled new patient records Insurance verification completed the day prior to appointment and patients notified if there are any issues On patient arrival, complete copying of insurance and referral information Responds in timely fashion for requests for dental records Check patients in including insurance verification Notify residents of patient arrival utilizing the Dentrix color-code system Enter patient demographic and insurance information into Dentrix Maintains the process for sending, receiving and notifying patients with regard to dental appliances Schedule interpreter services appropriately Assist OR coordinator when necessary Keep inventory of office supplies and notify Office Manager when supplies need to be ordered Other administrative tasks as assigned Attend regular staff meetings Minimum Requirements   High School Diploma or GED required 2-3 years or more of experience in front desk/dental clinic required
