This position will report to two (2) Associate Chief Nursing Officers (ACNO) at Duke Regional Hospital.
General Description of the Job Class
In support of a department or group of professionals, regularly required to resolve moderately complex (non-routine) administrative problems independently or with others. Problem resolution may include research. Tasks are typically diverse and advanced.
Duties and Responsibilities of this Level
In additionto tasks outlined in the Administrative Clerk description, examples of work at this level may typically include some combination of the following:
Independently prepare more complex documentation, reports, charts, graphs, and spreadsheets at designate intervals and as requested.
Coordinate special projects.
Research budget variance and follow up to resolve issues.
Develop advanced presentation materials.
Prioritize and resolve inquiries (phone, e-mail, in person).
Schedule and maintain calendar of appointments, meetings and travel itineraries, and coordinate related arrangements for ACNOs.
Works with HR to schedule interviews for nursing leadership positions and back-up for support to Chief Nursing Officer (CNO) when needed.
Manage Travel arrangements for ACNOs and other nurse leaders; Coordinate related arrangements for large nursing groups; Maintains expnse tracking report, and enters/updates licenses and certifications in API system.
Act as a liaison between the department and external groups.
Explain policy/procedures to other parties based on knowledge of the company and department guidelines; Assist with maintenance of DRH policy and procedures; Print index and required policies for regulatory visits
Ordersupplies and maintains inventory for nursing administration office and nurse resource room.
Monitor API time for biweekly and monthly nurse leaders reporting to ACNO; completes FMLA requests as needed.
Collect,compile and analyze moderately complex data and information.
Creates and maintains complex databases (e.i., nursing operational plan, travel, certification and BSN report) for nurse leaders; Coordinates certification bonus payment with DUHS Nurse Recruitment; Completes iforms for secondary positions when required.
Support hospital committees for magnet champions, nurse practice council, continual compliance, infection prevention and others as assigned; Maitnains and distributes minutes, agenda, and attendance records; Schedule room for meetings and assure room set-up with required equipment.
Perform other related duties incidental to the work described herein.
Required Qualifications at this Level
High school education or equivalent.
Two years of administrative support experience of increasing variety and/or complexity
Knowledge, Skills, and Abilities
Creatively uses PC, word processing and other office tools.
Thorough knowledge of department policies, procedures, and goals.
Advanced PC skills (Word, Excel, Duke Box, PowerPoint, SharePoints, Web-Ex, Smart sheets, Qualtrics) preferred.
