POPULATION HEALTH MANAGEMENT OFFICE (PHMO)
General Description of the Job Class
Provide administrative support to the (1) PHMO Director of Marketing & Communications, (2) Associate Chief Nursing Officer, PHMO, (3) PHMO HR Manager, and (4) Program Coordinator for Marketing & Communications; and as needed/requested to the IT, Pharmacy and Geriatrics Teams; with the ability to troubleshoot and problem solve as needed (independently and/or with others).
Duties and Responsibilities of this Level
Responsible for providing general administrative support and coordination of meetings and events for the Director of Marketing/Communications, Associate Chief Nursing Officer, HR Manager, Program Coordinators of Marketing/Communications and Outreach; as well as the IT, Pharmacy and Geriatrics Teams as needed/requested. This includes management of multifaceted calendars, all travel arrangements, reimbursements and associated preparations. Scheduling responsibilities include, but are not limited to:
Accuracy in scheduling meetings.
Coordination of multiple large group board/executive/JOC/payer meetings on a routine basis; including coordination of any related arrangements (ie, meeting space, travel, materials).
Participation in multiple board/executive meetings; composing and distributing agendas, materials and minutes.
Proactively reviewing calendars in advance to identify and correct potential conflicts, and prepare any necessary materials.
Coordination with other support staff to ensure accurate management of schedules and meetings
Responsible for PHMO supply/inventory management which includes ordering of copier supplies/toner, paper, envelopes, and all breakroom supplies.
Responsible for serving as liaison between department and property management; including troubleshooting and reporting of maintenance needs.
Shared responsibility for conference room scheduling (multiple rooms); scheduling of WebEx/conference calls, and coordination of meetings/events ensuring all logistical arrangements are in order.
Independently prepare correspondence, documentation, reports, charts, graphs, and spreadsheets at designate intervals as requested.
Coordinate special projects as requested.
Assist with clerical responsibilities including copying, printing, faxing, scanning, and filling
Other general responsibilities include coordinating IT support/service calls, troubleshooting equipment issues, Post Office requests as needed.
High school education or equivalent.
Two years of administrative support experience of increasing variety and/or complexity
