This role supports the Director of Safety-Emergency Management. The Administrative Specialist II, performs a combination of administrative, project, and secretarial work. The position is responsible for coordinating the day to day activities and administrative operations of the department, while working closely with the management team. This is a fun, fast-paced environment were workloads change daily to coincide the needs of the hospital. The ideal candidate must be able to remain calm and focused in all types of situations, problem solve quickly and effectively, and be flexible in situations where plans change last minute. In addition to working extensively in Microsoft Outlook scheduling and rescheduling meetings, this role is responsible for planning trainings/meetings, preparing agendas and taking/distributing detailed meeting minutes. This role is also responsible for coding and processing the departments invoices, making travel arrangements and other similar activities. The position serves as a resource person regarding department policy, procedures, and practice.
Required Minimum Knowledge, Skills, and Abilities (KSAs)
High school diploma or GED preferred; Bachelors degree preferred.
4-5 years of experience in an administrative support role preferred.
Strong written and oral communication skills.
Demonstrated experience with all Microsoft Office suite products.
Strong interpersonal skills.
Strong multi-tasking skills.
Strong problem-solving skills.
Strong organizational skills.
Ability to prioritize competing deadlines.
