Reports to: Department Chair and indirectly to the Chairs Special Executive Assistant

Occupational Summary

With minimum direction and considerable latitude for independent judgment, work with the Special Assistant to support the Department Chair. In support of this departmental structure, the Administrative Assistant applies knowledge and skills to resolve complex, non-routine administrative problems independently or with others. Must have strong writing skills.

Work Performed

Perform a variety of administrative duties with wide latitude for exercising discretion and judgment. This includes all calendar management and phone coverage. Plan, coordinate and administer meeting arrangements and content.This also includes responding to incoming and outgoing communication both for Chair and position independently.

Work with the Department Chair to gather and compile data to assist in the creation of divisional and departmental goals, presentations and productivity plans. Write departmental reports and documents for the Chair. Prepare and amend PowerPoint presentations using content generated by self and/or others.

Act as staff liaison to the Departmental Appointments, Promotions, and Tenure Committee. Gather and submit proper documentation for faculty promotions to the APT office.

Address and, where possible, resolve departmental difficulties in Chair's absence. Isolate day-to-day problems, interpret and assimilate complex issues and be able to demonstrate a competent understanding of the work of an academic department and of policies/issues in Duke University Medical Center and the Department of Anesthesiology.

Act as a conduit to Chair since his time commitments and obligations are extensive. The position must communicate and demonstrate confidence to an exceptionally high level about all matters concerning the Department.

Independently plan and coordinate special projects on behalf of the Chair to meet strategic goals and objectives. Manage program development initiatives and timelines.

Assist in the preparation of grant proposals and manuscripts. Ensure compliance with University and sponsoring agency policies and procedures.

Assists in duties assigned by the Special Executive Assistant for back up coverage to the Chairs Office and related needs.

Assist with special events planning and regularly scheduled meetings.

Minimum Qualifications


Work requires a general educational background normally equivalent to a full high school education plus two years post-secondary education in a business-related field.


Work requires 4 years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities.OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
