Duke Connected Care, a community-based, physician-led network, includes a group of doctors, hospitals and other healthcare providers who work together to deliver high-quality care to Medicare Fee-for-Service patients in Durham and itssurrounding areas.
Role of Department Payroll Representative/Administrative Assistant
Function as the liaison between the Corporate Payroll Services team and the employees
Understand and administer Duke Health System pay policies and compliance requirements
Initiate master data and payment transactions for employees
Review/maintain reports and data generated by Corporate Payroll Services to ensure accurate and timely payments
Responsible for payroll functions for department to include timekeeping for biweekly and/or monthly staff.
Support departmental recruitment efforts. Duties may include scheduling telephone and onsite interviews with candidates and preparing interview panel packets.
Assist in orientation of all new hires to the department including paperwork, badge activation, orientation booklet, and other onboarding activities.
Routinely create the HR section of new hire packets to assist in the onboarding process for new hires.
Move personnel file to inactive file drawer, if the file is not requested by the new department
Process payments requiring off cycle adjustments
Coordinate new hire onboarding and termination process
Prepare communications to employees/departments in response to specific payroll inquiries
Distribute departmental payroll checks and W2s
Process gross adjustments and payroll exceptions
Request manual checks as required
Monitor the time card submission process for non-exempt and exempt employees through reporting and view only access
Process the hiring by entering information from the PEC form
Assist with managing FMLA and Leave of Absence processes
Assist with annual performance review and merit increase process
Monitor online compliance training
Must be able to work under time pressures in a busy office environment.
Must be able to handle multiple assignments, conflicting demands & priorities.
Must maintain attention to detail over extended periods.
Must be continually aware of variations in changing situations.
High school education or equivalent.
Two years of administrative support experience of increasing variety and/or complexity
Degrees, Licensures, Certifications
